What are billing reports?

With Replypad’s billing features, customer charges are regularly added by users for the services provided, products sold, and automatically for both new contracts and renewing existing ones.

You can refine which charges are included in the report calculation, such as by including only those from the last month.

Viewing billing reports

To view billing reports, click the Three-lined (‘Hamburger’) icon on the top-right corner and choose Billing reports.

Generate billing reports

Billing reports are displayed based on the level you select: customer account, contracts, or conversations.

  • Billing report by Accounts

    With this level selected, you see one line for each customer. It sums any charges associated with this account, regardless of the associated contract or conversation.

  • Billing report by Contracts

    With this level selected, you see one line for each contract. It sums any charges associated directly with this contract. The summary does not include charges associated with the same customer account if they are not directly linked to this contract.

  • Billing report by Conversations

    With this level selected, you see one line for each customer conversation. It sums any charges associated with this conversation and the customer directly. In some cases, where charges under the same conversation are logged for different customers, the same conversation may appear more than once.

Detailed report

Use the View dropdown at the top to change the detail level of the reports – Detailed or Summary.

Each row in the detailed report shows the following information:

  • Billable – Shows the grand total of billable charges.
    • Products – The total of billable product charges.
    • Services – The total of billable service charges.
    • Hours – The total number of billable hours included in Services.
    • The percentage in brackets represents the billed amount. Hovering over the brackets displays the billed amount and the open balance — the portion that has not yet been billed.

  • Not Billable – Shows the grand total of not-billable charges.
    • Products – The total of not-billable product charges.
    • Services – The total of not-billable service charges.
    • Hours – The total number of not-billable hours included in Services.
  • Charges counter. Clicking the number will show a list of charges that make up the report line.

Summary report

Use the View dropdown at the top to change the detail level of the reports – Detailed or Summary.

Each row in the summary report shows the following information:

  • Billable – The grand total of billable charges.

  • Not Billable – The grand total not-billable charges.

    The percentage in brackets represents the billed amount. Hovering over the brackets displays the billed amount and the open balance — the portion that has not yet been billed.

  • Charges counter. Clicking the number will show a list of charges that make up the report line.

Selecting report display level

By default, billing reports are displayed at the customer account level, i.e., one line per customer. To change this use the   By   dropdown at the top and select the desired display level.

Filtering charges by time

To include charges from a specific period, select the desired timeframe from the dropdown at the top.

The default period is This Year.

Advanced filtering options for charges to include

To refine the charges included in the billing report calculation, click the Filter button.

A window will open with the following options:

  • Account

    Select the account

  • By the charge date.

  • The charges is for –
    • Products and Services.
    • Products only.
    • Services only.
  • Open conversations’ charges –

    If you don’t want to include charges related to conversations that are still open, choose not to include charges from open conversations.

Advanced report filtering options

Sorting

You can sort the report by Total (highest to lowest) or by Account (customer name) using the dropdown at the top.

The default sorting is by Total.
